Authoriser and User Access

There are two levels of access rights: Authoriser and User.

Selecting AMU or another application will open a table which displays the staff members at a site in the left-hand column and the different levels of access along the top bar.

Authoriser Access

  • Authoriser access gives you the ability to manage application access for staff at a specific site. This is granted in the AMU application within Access Management Utility by ticking boxes for the relevant applications.

  • As an Authoriser you can allocate Authoriser access and User access to other staff at your site and staff not at your site using View & Add staff not at this site link at the bottom of the AMU Authoriser application page.

  • Data is displayed in a table:

    • Applications are displayed along the top bar and the staff at your location are displayed down the left-hand column.
    • Boxes to tick for access are seen in the rest of the table.

Important

Points to note:

  • School Principals

    • You have automatic AMU Authoriser access BUT you will have to assign yourself Authoriser access for all other applications using AMU and/or you can delegate this access to your staff. An exception is AZT which will not appear in this selection.
    • Applications being rolled out to schools selectively will not appear in your AMU Authoriser list until it is rolled out to all schools completely, eg. Oliver, EBS4 and Synergy.
    • You will have to assign yourself Authoriser and User access to other applications as you do for your staff and staff not at your site.

See Managing School Principal access for assistance.

Relieving School Principals

  • You have to be given AMU Authoriser access by the Substantive Principal at your relieving site.
  • If you are not substantive at that location access will be given using View & Add staff not at this site in AMU.
  • You can then proceed as AMU Authoriser for your relieving school.

See Managing access for Relieving Principals for assistance.

Ticking boxes in AMU - Access Management Utility:

  1. Grants Authoriser access to staff for the selected application/s at their site or another site if View & Add staff not at this site option is selected.
  2. Adds these selected applications to the list on the staff member’s AMU Home page.
  3. Does not give User access to applications.
  4. Allows Authorisers to assign Authoriser & User access of an application to their staff at their site.
  5. Allows Authorisers to assign Authoriser & User access of an application to staff not at their site using View & Add staff not at this site.
  • Refer to Managing Authoriser Access in AMU for details.

User Access

  • User access gives you the ability to use a specific application at a specific site in accordance with the level of access granted to you in AMU.

  • User access is NOT granted by ticking boxes in the AMU Authoriser option but by selecting an application from the list on the AMU Home page.

  • Some applications, such as PRC and SMART2, have one level of access only, ie. simply to use an application.

  • Other applications such as ET4L, SMU and SRS have different levels of access available.

  • Data is displayed in a table:

    • The level of Access is along the top bar and the staff at your location are displayed down the left-hand column.
    • Boxes to tick for access are seen in the rest of the table.

Figure 2 - Shows some of the many levels of access for SRS which are seen along the top bar of the table, some of the staff list and tick boxes:

Ticking boxes in applications other than AMU:

  1. Grants application access at your substantive site, ie. the location where your name appears in the AMU staff list.
  2. Grants application access at another site if you are relieving in a position or working at more than 1 site and you do not appear in the AMU list for that site.
  3. Grants specific levels of access according to the boxes ticked for that application.

Note - Refer to Managing User Access for Other Applications and Managing Access for Staff not at this site.

Warning

Remember to untick all AMU access before a staff member leaves your site so that they will not retain this access causing a huge security risk until you remove it using View & Add staff not at this site.
